Refund and Billing Policy
Effective Date: May 8, 2026
This Refund and Billing Policy applies to all purchases, subscriptions, usage credits, Deep Searches, AI-assisted actions, autonomous workflows, and related services provided by Bosmos, Inc. (“Bosmos,” “we,” “us,” or “our”). By purchasing or using Bosmos, you agree to this Refund and Billing Policy, our Terms of Service, and any applicable order form, checkout terms, or plan details presented at the time of purchase.
1. General Policy
Bosmos is a subscription-based software and AI workflow platform. Except where required by law or expressly stated in this Policy, all fees paid to Bosmos are non-refundable. This includes, but is not limited to:
- monthly subscription fees
- annual subscription fees
- onboarding fees
- initial scan fees
- Deep Search credits
- opportunity credits
- AI-assisted action credits
- autonomous workflow credits
- add-on usage packs
- promotional or discounted plans
- beta access fees
- setup, migration, or implementation fees Bosmos provides access to software, AI-generated analysis, workflow automation, and usage-based digital services. Once access is granted, scans are run, credits are used, outputs are generated, workflows are executed, or services are delivered, those services are considered consumed.
2. Subscriptions
Bosmos subscriptions renew automatically unless canceled before the next billing date. You may cancel your subscription at any time through your account settings or by contacting Bosmos support. Cancellation stops future billing but does not automatically create a refund for the current billing period. Unless required by law:
- subscription fees are not prorated
- unused time in a billing period is not refundable
- unused included credits are not refundable
- failure to use the service does not entitle you to a refund
- canceling after renewal does not entitle you to a refund for that renewal period After cancellation, you may continue to access your plan until the end of the paid billing period unless your account is terminated for violation of our Terms of Service.
3. Initial Scan and Backfill Services
Bosmos may perform an initial inbox, communication, or relationship backfill scan to identify opportunities, build a relationship map, learn writing style, and create a baseline operating profile. Because the initial scan requires computational resources, AI processing, storage, and system work, fees associated with initial scans or backfill processing are non-refundable once the scan has started. Bosmos does not guarantee that any scan will identify a specific number of leads, opportunities, referrers, partners, replies, meetings, invoices, or revenue outcomes.
4. Deep Searches and Targeted Backfills
A Deep Search or targeted backfill is a user-requested search of historical communications, records, or connected data sources for a specific signal, topic, opportunity, or relationship pattern. Deep Search credits are consumed when Bosmos begins processing the request. Deep Search credits are non-refundable once used, including if:
- the search returns fewer results than expected
- the search returns no qualifying results
- the user changes the search criteria after processing begins
- the user decides the results are not useful
- the user later finds similar results through another search If Bosmos already has the requested information in the user’s existing opportunity map, indexed signals, or processed data, Bosmos may return those results without consuming a Deep Search credit. Bosmos reserves the right to determine when new processing is required.
5. Opportunity Credits
Opportunity credits may be used to unlock or access qualified opportunities identified by Bosmos. A qualified opportunity may include, depending on the user’s profile and plan:
- a lead or prospect
- a referrer
- a partner
- a forgotten opportunity
- a stalled thread
- a revenue-relevant contact
- a relationship signal with potential business value Bosmos does not charge opportunity credits for contacts that it classifies as clear noise, spam, internal/self, or obvious false positives when identified before surfacing. However, AI classification is probabilistic. Bosmos does not guarantee that every surfaced opportunity will result in revenue, a reply, a meeting, a sale, a referral, or any particular business outcome. Opportunity credits are non-refundable once used to unlock, view, process, or act on an opportunity.
6. AI-Assisted Action Credits
AI-assisted action credits may be used for actions such as:
- generating drafts
- rewriting messages
- preparing replies
- suggesting next steps
- creating follow-ups
- handling inbound messages
- summarizing conversations
- preparing objection responses
- drafting invoice reminders
- assisting with meeting requests Action credits are consumed when the action is generated, prepared, executed, or otherwise made available to the user. Action credits are non-refundable once used, including if the user edits, rejects, ignores, rewrites, or does not send the generated output.
7. Autonomous Workflow Credits
Autonomous workflow credits may be used when Bosmos performs or coordinates multi-step workflows on behalf of a user, including but not limited to:
- follow-up workflows
- inbound response workflows
- meeting booking workflows
- invoice follow-up workflows
- business development workflows
- relationship reactivation workflows
- sales support workflows
- revenue operations workflows Autonomous workflow credits are consumed when the workflow begins, performs a material step, executes an action, or uses connected integrations to move the workflow forward. Autonomous workflow credits are non-refundable once a workflow has started, except in cases where Bosmos determines, in its sole discretion, that the workflow failed due solely to a material Bosmos system error.
8. Invoicing, Calendar, and Third-Party Integrations
Bosmos may connect to third-party tools, including email providers, calendars, CRMs, invoicing systems, payment processors, and other business software. Bosmos is not responsible for:
- third-party downtime
- third-party API errors
- third-party billing errors
- user permission issues
- disconnected integrations
- inaccurate data from third-party systems
- actions taken based on user-configured settings
- failed sends, failed calendar events, failed invoices, or failed payment tracking caused by third-party systems Fees paid to Bosmos are not refundable because of a third-party service failure, unless Bosmos determines that the failure was caused solely by Bosmos.
9. Revenue, Leads, and Business Outcomes
Bosmos is designed to help users identify, organize, respond to, and act on business opportunities. However, Bosmos does not guarantee:
- revenue generation
- closed deals
- booked meetings
- successful collections
- invoice payments
- customer acquisition
- investor interest
- referral outcomes
- response rates
- deliverability
- conversion rates
- business growth
- any specific financial result Any revenue amounts, opportunity values, pipeline values, or projected outcomes shown inside Bosmos are estimates, user-provided values, system-inferred values, or integration-based values unless explicitly marked as confirmed paid revenue. Refunds will not be issued because a user did not achieve a desired business result.
10. Unused Credits
Unless otherwise stated in the applicable plan terms:
- included monthly credits expire at the end of each billing cycle
- included credits do not roll over
- unused credits are not refundable
- unused credits have no cash value
- credits may not be transferred, sold, assigned, or exchanged for cash
- promotional credits may expire at any time as stated in the applicable offer Purchased add-on credits may expire according to the terms shown at checkout or in the applicable plan details. To the extent permitted by law, Bosmos may set expiration dates, usage limits, and restrictions for all credits. Credits are software usage rights and are not gift cards, stored value cards, bank accounts, cash equivalents, or financial instruments.
11. Annual Plans
Annual subscriptions may be offered at a discounted rate in exchange for a longer commitment. Unless required by law or expressly stated in writing:
- annual plans are non-refundable once purchased
- annual plans are not refundable if canceled early
- annual plan fees are not prorated
- unused months are not refundable
- unused credits are not refundable If you cancel an annual subscription, cancellation will stop renewal at the end of the then-current annual term.
12. Trials, Promotions, Discounts, and Beta Plans
Bosmos may offer trials, beta plans, founding member plans, discounts, promotions, or limited-time pricing. Unless otherwise stated:
- promotional fees are non-refundable
- beta access fees are non-refundable
- discounted subscriptions are non-refundable
- promotional credits have no cash value
- expired promotions cannot be retroactively applied
- prior purchases are not eligible for price adjustments Bosmos may modify, discontinue, or limit any promotion, beta offer, or discounted plan at any time.
13. Refunds We May Approve
Bosmos may, in its sole discretion, issue a refund, credit, or account adjustment in limited cases, including:
- duplicate charges
- incorrect billing amount caused by Bosmos
- payment processing error
- subscription charged after a confirmed cancellation request that Bosmos failed to process
- material service failure caused solely by Bosmos
- legal requirement Refund requests must be submitted within 7 days of the charge unless a longer period is required by law. Submitting a refund request does not guarantee approval.
14. Refunds We Do Not Provide
Bosmos does not provide refunds for:
- change of mind
- lack of use
- failure to cancel before renewal
- user error
- user dissatisfaction with AI-generated outputs
- low response rates
- poor business outcomes
- failure to generate revenue
- failure to close deals
- insufficient leads found
- fewer opportunities than expected
- results the user considers inaccurate but that were generated from available data
- disconnected integrations
- incorrect user settings
- inaccurate or incomplete user profile information
- third-party platform downtime
- email deliverability issues outside Bosmos’ control
- data that the user deleted, modified, or failed to connect
- charges disputed through a bank or card issuer before contacting Bosmos
- used credits, consumed workflows, generated drafts, scans, Deep Searches, or autonomous actions
15. Billing Errors
If you believe you were charged in error, you must contact Bosmos within 7 days of the charge and provide:
- account email
- date of charge
- amount charged
- description of the issue
- supporting documentation if available Bosmos will review the request and determine whether a refund, credit, or adjustment is appropriate. Failure to report a billing issue within the required period may limit your ability to receive an adjustment.
16. Chargebacks and Payment Disputes
If you initiate a chargeback or payment dispute without first contacting Bosmos, we reserve the right to:
- suspend your account
- pause workflows
- revoke access to credits
- stop autonomous actions
- disable connected integrations
- terminate your subscription
- dispute the chargeback with supporting records
- recover fees, costs, or losses caused by the dispute Bosmos maintains records of account activity, credits used, scans run, workflows executed, outputs generated, and services delivered. Fraudulent, abusive, or bad-faith disputes may result in permanent account termination.
17. Taxes and Fees
All prices are exclusive of taxes unless otherwise stated. You are responsible for all applicable taxes, duties, levies, government charges, card fees, bank fees, currency conversion fees, and payment processor fees. Taxes and payment processing fees are non-refundable unless required by law.
18. Account Suspension or Termination
If your account is suspended or terminated for violating our Terms of Service, Acceptable Use Policy, payment obligations, security requirements, or applicable law, you are not entitled to a refund. Bosmos may also revoke unused credits, cancel workflows, or restrict access if your account is terminated for cause.
19. Data, Output, and AI Limitations
Bosmos relies on user-provided information, connected account data, third-party integrations, AI models, and system interpretation. AI-generated outputs may be incomplete, inaccurate, inappropriate, or require user review. You are responsible for reviewing, approving, editing, sending, relying on, or acting on any AI-generated output, recommendation, workflow, or communication unless you have explicitly enabled autonomous execution. Refunds will not be provided solely because an AI-generated output did not meet subjective expectations.
20. Autonomous Actions
If you enable autonomous workflows, you authorize Bosmos to perform actions within the permissions, integrations, and settings you configure. You are responsible for:
- configuring workflow permissions
- reviewing settings
- setting limits
- connecting accurate accounts
- maintaining proper credentials
- ensuring communications comply with applicable laws
- monitoring business-critical workflows Bosmos is not responsible for refunds, lost opportunities, customer reactions, missed replies, rejected invoices, failed collections, or business consequences resulting from authorized autonomous workflows, except where caused solely by Bosmos’ gross negligence or willful misconduct.
21. Goodwill Credits
Bosmos may issue goodwill credits at its sole discretion. Goodwill credits:
- are not refunds
- are not admissions of fault
- have no cash value
- may expire
- may be revoked for abuse
- may be limited to future Bosmos usage Bosmos is not obligated to provide goodwill credits in any situation.
22. How Refunds Are Processed
If Bosmos approves a refund, the refund will generally be issued to the original payment method. Refund processing times depend on the payment processor, bank, card network, or financial institution. Bosmos is not responsible for delays caused by third-party payment systems. If the original payment method is unavailable, Bosmos may provide account credit instead.
23. Changes to This Policy
Bosmos may update this Refund and Billing Policy from time to time. Updated versions will be posted on our website or inside the product. Changes apply prospectively and will not reduce rights required by law. Your continued use of Bosmos after the updated Policy becomes effective means you accept the updated Policy.
24. Legal Rights
Nothing in this Policy limits any non-waivable rights you may have under applicable law. If any provision of this Policy is found unenforceable, the remaining provisions will remain in effect to the fullest extent permitted by law.
